Article VI, Section 3. The General Society’s two (2) officers are the Deputy Governor General and Assistant General, who shall represent the Society at the Triennial Congress of the General Society and at each meeting of the General Board of Assistants. The Society shall nominate two Regular Members of the Society but shall not elect them; the Society shall notify the General Board of Assistants of its choices, and the General Board of Assistants shall elect the Society’s nominees for a term of three (3) years at the Triennial Congress.
Article V – Duties of Officers
Section 1. The Governor shall preside at all meetings of the Society and of the Board of Assistants and shall perform the traditional duties pertaining to that office. The Governor shall be an authorized signatory for all the Society’s financial accounts. At the first board meeting after the annual business meeting of the Society, the Governor, subject to the approval of the Board of Assistants, shall appoint any necessary standing committees, which may include: Junior Membership, Finance, Nominating, Program, Bylaws, Education, and Colony.
Section 2. The Deputy Governor shall, in the absence of the Governor, preside at all meetings of the Society and Board of Assistants. In case of a vacancy in the office of Governor, by death or otherwise, the Deputy Governor shall succeed to that office until the next annual meeting.
Section 3. The Corresponding Secretary shall have the following duties: Conduct all correspondence of the Society except as otherwise provided; give notice of all meetings of the Society and Board of Assistants; have custody of the Great Seal of the Society, and also affix and attest signatures as required; keep an accurate record of all Members of the Society and their status; and complete the required annual report for the General Society.
Section 4. The Recording Secretary shall record in a suitable record the minutes of all meetings of the Society and Board of Assistants, including Colony minutes, if applicable
Section 5. The Treasurer shall have the following duties: Collect all fees and dues; keep the Society’s accounts in federally insured financial institutions, be an authorized signatory on those accounts and be responsible for at least two signatures on file for each account; have charge of all funds of the Society under the direction of the Board of Assistants; account for all receipts and disbursements and report them to the Board of Assistants upon request; report at all meetings of the Board of Assistants the income and expense balance of funds on hand and the outstanding obligations of the Society; report receipts and disbursements for the current year at each annual meeting and business meeting; and maintain appropriate financial records that shall be open to inspection by the Board of Assistants and the Finance Committee, and which shall be audited periodically.
Section 6. The Historian shall have the following duties: Examine and approve the lineage papers of all Applicants before their election to membership; examine and approve all papers containing supplemental lines before taking any action; be familiar with membership procedures as outlined in this Constitution and Bylaws; prepare a suitable record of the name, address, State Number, and General Number of each Member, and the number of generations in descent from the Mayflower ancestor; enter each name of the ancestor and the number of generation in descent in each supplemental line; maintain custody of all lineage papers and accompanying proofs of eligibility in a safe place; take care of the Silver Books, MFIP Books, and JHMF Volumes belonging to the Society; keep the records of the Society deemed to be of historical value; and give a report of the Historian’s office at each Board of Assistants meeting.
Section 7. The Elder shall be an ordained elder, deacon, minister, or bishop of a Christian church, who shall lead the Society in prayer at the opening and closing of all meetings and as otherwise required. If the Elder is not present at a meeting, the Governor or other Member of the Board of Assistants shall perform the Elder’s duties at the meeting.
Section 8. The Captain shall be marshal at all parades and occasions of ceremony, and shall also be responsible for the presence of flags at all meetings.
Section 9. The Surgeon, who shall have been duly admitted to the practice of medicine, shall give to the Society any advice and opinions in the field of medicine as requested by the Governor or Board of Assistants.
Section 10. The Counselor, who shall be an attorney-at-law, shall give to the Society any aid and opinions on matters of law when requested by the Governor or Board of Assistants.
